Address Books

I can't find one of my address books. How can I get it back?

The menu commands File/Close Book actually hide the selected address book. Try clicking File/Open Book to retrieve a "missing" address book. The other likely explanation is the missing address book is out of view. Scroll left and right through your address books using the arrow buttons located to the right of the address book tabs.

How do I move addresses from one address book to another?

It's drag-and-drop. Click on an address, then click-and-drag it up to the tab of the desired address book. Release your mouse button and the address will be copied to that address book. View the QuickTime movie.

Why can't I edit addresses in the Novell GroupWise Address Book?

It's a system address book managed by Wendy Siemers (x-1583).

My favorite address book is the last one on the right and I have to scroll to see it. Can I re-order the tabs for my address books?

The Novell GroupWise Address Book will always be the left-most book. However, you can re-order all other address books. Choose the desired address book by clicking its tab. Click File/Close Book. Click File/Open Book. The Open Address Book dialog box will appear. Double-click the address book you just closed. It will reappear as the second address book from the left. Repeat this procedure with other address books until you have the order you desire. View the QuickTime movie.

I'm confused by my e-mail address. Should it end with @isd742.org, @isd742.net or @stcloud.k12.mn.us?

Our address scheme is firstname.lastname@isd742.org. That's what should show on your business card and that's the addressing scheme you should share with all your correspondents. However . . .

Our address scheme used to be firstname.lastname@stcloud.k12.mn.us. That method still works.

You will have e-mail replies using firstname.lastname@isd742.net. The Novell GroupWise System Address Book also uses isd742.net. The .net version of your address provides functionality within our e-mail system and network.

One of my addresses is dimmed and I can't do anything with it?

Look in the Address List -- the staging area on the far-right side of an address book. Delete the address from the Address List and you'll be able to edit it or move it.

My Address List area is missing. How do I get it back?

The tall, skinny box on the right side of an address book is called the Address List area. Click the Close List button to hide it and the Address List button to display it.

How do I make an e-mail that goes to a group of people?

GroupWise calls these distribution lists "groups." See our Groups FAQ for details or view the QuickTime movie.

Can I share addresses with other people?

You can export addresses for other District 742 GroupWise users to import. With an address book open, hold down your Ctrl key, then click to select the addresses you want to share. Click File/Export. When the Export Question dialog box pops up, choose Selected Items. Name the resulting .NAB file and then save it to your H:\ drive, building pool folder or a floppy disk. Your colleague will need to open the desired address book in GroupWise, click File/Import, then double-click the .NAB file you shared.

Can I share an entire address book?

Address book sharing is a great way to streamline communication within a workgroup. For example, our social workers have a shared address book managed by Dave Gunderson and Oak Hill has a shared address book managed by Linda Hollenkamp. Call Jeff Wood at x-1525 and he'll walk you through the process over the phone.

Can I edit the columns in my address books?

You can delete any column (Fax Number, for example) by dragging the column heading toward the center of the window. Release your mouse button and that field is no longer displayed. You can rearrange the columns by dragging them horizontally in either direction. Release your mouse button and the column will be displayed wherever you dropped it. If you accidently delete a column, you can right-click any column heading to see a list of available columns.

Archiving

How do I archive an e-mail message?

In your Mailbox, right-click the desired e-mail message. When the pop-up menu appears, choose Archive.

How do I archive multiple e-mail messages?

In your Mailbox, hold down the Ctrl key on your keyboard while clicking the messages you want archived. Then right-click any of the selected messages. When the pop-up menu appears, choose Archive.

Where do the archived e-mail messages go?

Up in the menu, click File/Open Archive to view archived messages in your personal archive area. There you can read and print archived messages in the normal fashion. Click File/Open Archive again to return to your Mailbox. NOTE: you cannot view archived messages at home using GroupWise WebAccess.

Where is my archive located?

Your archived messages are encrypted and stored within your Home folder, also known as your H:\ drive.

How do I move archived messages back to my Mailbox?

In your Archive, right-click the desired message. When the pop-up menu appears, choose Archive. That message will be available when click File/Open Archive to return to your Mailbox.

Attachments

How do I open an attachment?

Files attached to an e-mail message appear below the body of the message. Double-click the attachment icon. Or, right-click the attachment icon and choose from the following options: View Attachment, Open With, Save As or Print.

The attachment called Mime.822 is unreadable. How can I fix that?

The Mime.822 attachment is a piece of functionality GroupWise needs in certain circumstances. Just ignore it.

Can I save more than one attachment at a time?

With the desired message open, click File/Save As. Holding your Ctrl key down, click on the attachments you want to save. Use the Browse button to choose the location where you want the attachments saved, such as your H:\ drive. Click the Save button. View the QuickTime movie.

Why won't MS Word launch when I double-click an MS Word attachment?

You probably need to change a user preference. Click Tools/Options/Environment and then click the General tab. In the Attachments area in the lower-right corner, choose the Open Item option.

Alternatively, you can right-click any attachment and then choose Open. If you have the associated software, it will launch and display the attachment.

Why do AppleWorks/ClarisWorks attachments look garbled?

The built-in GroupWise attachment viewer does not display AppleWorks or ClarisWorks documents correctly. Change a user preference, however, and your copy of AppleWorks/ClarisWorks will launch and display the attachment perfectly. Click Tools/Options/Environment and then click the General tab. In the Attachments area in the lower-right corner, choose the Open Item option.

Alternatively, you can right-click any attachment and then choose Open. If you have the associated software, it will launch and display the attachment.

What does the envelope icon in the attachment area mean?

It is a forwarded message. Double-click to open it. Depending upon how many times the message has been forwarded, you may need to keep opening several layers worth of envelope icons by double-clicking.

Are there other ways to attach files to a message?

You can drag-and-drop a file on to a message. You can also attach a file by right-clicking it. When the pop-up menu appears, choose Send To/GroupWise recipient.

Are there limits to how many files I can attach?

The maximum mail message size, including any attachments, is 3 MB. What does 3 MB mean? A four-paragraph, plain-text emailis typically 2 KB, or 0.00195 of a MB. A plain-text e-mail with an attached four-page MS Word document containing images might be 0.97043 of a MB. A plain-text e-mail with a large attached photo and MS Word document attached might run 2.8 MB.

Calendar

How do I create a recurring meeting for the entire school year?

Create a Posted Appointment as you normally would. Before clicking the Post button, click Actions/Auto-Date. There are three different methods. For detailed instructions, use the Help built into GroupWise, read pages 59 - 66 in the GroupWise 5.5 User's Guide, or view the QuickTime movie.

How do I reschedule an appointment to a different day?

In Day view, click-and-drag the appointment to a different time during that day. Or, click-and-drag the appointment to a different day on the small monthly calendars located to the left of the Appointment area. How do I do a Busy Search?

Busy Search takes the guesswork out of scheduling meetings because you find common open times in people's schedules. See pages 50 - 52 in the GroupWise 5.5 User's Guide or your built-in GroupWise Help for details.

Why doesn't an alarm sound prior to each appointment?

Because of the additional network traffic it would create, GroupWise Notify has not been installed as an automatic feature.

How can I change the font face, font style and font size in my printed GroupWise calendar pages?

Click File/Print Calendar, choose a calendar style, then click the Content tab. Click the Font button to see the Font dialog box.

Folders

How can I delete items in my folders?

You should periodically delete unneeded messages in your Mailbox and Trash. To select multiple messages for deletion, hold your Ctrl key down as you click. Press your Delete key and the selected messages will go to the Trash. View our Folder Clean-up tutorial.

Can I store old or infrequently used items somewhere?

Use the GroupWise archive feature to move items from your Mailbox or Cabinet folders to your Home folder (H:\ drive). View our Archiving tutorial.

How do I make folders?

You can create folders in your Cabinet, then drag-and-drop e-mail messages from your Mailbox into them. Click File/New/Folder, then use the three-step wizard. Make sure to use the Up, Down, Right and Left buttons in step 2 to place your folder where you want it.

What do all those icons in my Mailbox mean?

How does the Trash folder work?

By default, a message will stay in your Trash for three days. On the fourth day it will be deleted. You can drag messages in and out of the Trash.

My Sent Items folder is gone. How do I get it back?

Look in all your folders to see if you accidentally dragged it inside another folder. If it can't be found, click Edit/Folders/New, then select Find results folder, Predefined results folder and Sent Items. Click the Next button. Position your new Sent Items folder with the Up, Down, Right and Left buttons, then click Finish. View the QuickTime movie.

Why do messages in my Sent Items folder look different than those in my colleague's Sent Items folder?

The difference is a user preference setting. Click Tools/Options/Environment. Select the General tab. In the Sent Items area on the right, select Open Item.

What is the Work In Progress folder?

If you are interrupted while creating a message you can click File/Save Draft and the message will be stored in the Work In Progress folder. Closing GroupWise or turning off your computer will not affect the message. At a later time you can go into the Work In Progress folder, complete the message and send it or post it.

How can I organize my Cabinet folders alphabetically?

Cabinet folders can be placed in alphabetical order when they are created, using the Up, Down, Right and Left buttons. To alphabetize folders after they are created, right-click the Cabinet icon and then choose Sort Subfolders. This feature is new in GroupWise client version 6.0.4. If this feature is not available, contact your media specialist or building technical representative so Technical Services can update your client. View a visual of the Sort Subfolders feature.

How can I delete multiple messages from My Mailbox?

Cleaning up any folder is easy. While holding down your Ctrl key, click the desired messages and then press the Delete key on your keyboard. View the QuickTime movie.

Can I sort within folders?

Try sorting by Name, Subject or Date -- the columns commonly found in any folder. For example, right-click on the Name column heading and then choose Sort Ascending. Messages will be sorted alphabetically, A to Z. For example, all messages from Jeff Wood will be grouped together.

Can I search for a particular e-mail in GroupWise?

Try speed-surfing through a folder using QuickViewer, the button with the spectacles, available on the toolbar. Or, search using the Find tool, the button with the magnifying glass, available on the toolbar.

Can I search within a message?

Click Edit/Find Text. The Find What box will appear. Use it to find a particular word or phrase.

Groups

How can I make a group?

Click-and-drag addresses from any address book into the tall, skinny Address List area on the right. Click the Save Group button located in the bottom-right corner. Name the group, choose the address book in which you want the group saved and then click the OK button. Delete the addresses in the Address List area. View the QuickTime movie.

TIP: If you're creating a group for work purposes, use the addresses in our system address book, the Novell GroupWise Address book.

Why aren't two members of one of my groups receiving my messages?

If you get bright-red "undeliverable" messages in your Mailbox, chances are something is wrong with the e-mail addresses. Carefully examine each recipient's address. Perhaps the name is spelled incorrectly or the dot before .com, .net, .org, or .edu is missing.

Can I share a group with a colleague who uses GroupWise?

Select the address book that contains the group. Click on the desired group to select it. Up in the menu, click File/Export. When the Export Question dialog box appears, choose Selected Items. Name the resulting .NAB file and save it to your H:\ drive, building pool folder or a floppy disk. Your colleague will need to open the desired address book in GroupWise, click File/Import, then double-click the .NAB file you shared.

Messages

Can my name, job title and phone number automatically appear at the bottom of every message I send?

You can have your Signature appear on every message or be prompted to add your Signature with a click. Click Tools/Options/Environment. Select the Signature tab. Check the Signature checkbox. Type the text you want to appear in your Signature. On the right, choose either Automatically add or Prompt before adding. View the QuickTime movie.

How can I filter out unwanted junk mail?

Media Services installed a network-wide, anti-spam solution in Fall 2003. Technicians are improving the software's ability to discriminate between desirable mail and unsolicited mail, which is a very difficult task. The goal is to reduce the amount of junk e-mail without disrupting your work-related messaging.

Why do e-mails from my Hotmail friends have no message in them?

GroupWise has some difficulty translating messages from users of Hotmail. Look for an attachment called Part.000. Right-click it and then choose View Attachment. You should see the body of the message. If you experience problems with messages from certain correspondents, encourage them to send plain-text messages.

Why do messages from SCSU staff sometimes print badly?

If Outlook users at SCSU choose an unusual font, our printers may not be able to cope. In a recent e-mail to us, an SCSU user used a font called Batang. The message displayed perfectly in GroupWise, but printed unintelligibly. If you experience problems with messages from certain correspondents, encourage them to send plain-text messages.

How do I know when someone has opened a message from me?

Click Tools/Options/Send. Select the Mail tab. In the Return notification area at the bottom, select the Mail Receipt option under When opened.

My colleague gets HTML e-mail messages. Why don't I?

GroupWise supports media-rich HTML e-mail if your computer has the Internet Explorer (IE) browser. GroupWise must be installed after IE and the HTML support featured must be checked during installation. Talk to Jeff Wood (x-1525) or your building technician for details.

Is there a Spell Check tool?

You can launch Spell Check each time you compose a message (Tools/Spell Check) or you can have it automatically launch when you click the Send button. To set your preference, click Tools/Options/Environment. Select the General tab. Look near the bottom for a checkbox labeled Check spelling before send.

What purposes do the Font, Bold, Underline and Italic buttons serve?

You can change font face, font size, font color, font weight and other text attributes using these buttons. GroupWise users will see your fancy formatting if you send the message using our Novell GroupWise Address Book.

My Mailbox is very full. How can I find a particular message?

Miscellaneous

I don't understand the buttons on the GroupWise toolbar?

Hover your mouse pointer over a button and pop-up text will identify that button. Or, permanently add text descriptors to the toolbar buttons by right-clicking on an open area of the toolbar and then choosing Properties. The Toolbar Properties dialog box will appear. Click the Show tab and then choose the Pictures and text option.

Can I change the order of my Toolbar buttons?

Absolutely. Right-click on an open part of the Toolbar to launch the Toolbar Properties dialog box. Click the Customize tab. Your Toolbar buttons are now editable. Drag-and-drop buttons to any location on the Toolbar.

My appointments are gone from the Calendar? Where did they go?

In your Calendar, switch to Week view or Day view. Check to make sure the Appointments button -- located beneath the Day view and Week view tabs -- is depressed. If this doesn't display your appointments, call Wendy Siemers at x-1583.
